Classroom Reservations
Who can reserve GA Classrooms?

UC Berkeley faculty and staff affiliated with academic or administrative departments
• Active signatories of Registered Student Organizations (RSOs)
Please note:
• Non-campus affiliates may not reserve GA classrooms.
• Individuals may not reserve on behalf of unaffiliated groups.
• For external venue rental options, see the Berkeley Event Services Venue List.
Booking Guidelines
Reservations must align with building hours.
All events must end by 10 PM during the Fall and Spring semesters.
Opening Submission Dates:
– Fall: July 1
– Spring: December 1
Or after RSO signatory training is completed.
Timing Restrictions:
– Weeks 1–4: Reservations before 8 PM are not allowed.
– Weeks 5–15: Early reservations (before 8 PM)
held until Week 5
Submission Deadline:
– Single Classroom: Submit request 14 days in advance.
– Multiple Classrooms (per day): Submit request 21 days in advance.

• Reservations accepted up to 365 days in advance.

Timing Restrictions:
• GA classrooms are not available on home football game days unless the event includes paid UCPD SPO/CSO or alternate approved staffing. Subject to approval.

• Confirmed approximately 2nd week of April, after Academic Scheduling completion.
• RSOs: Cannot reserve GA classrooms.
• Faculty/Staff only.
• No reservations between the end of finals and start of Summer Session A.
Submission Deadlines:
• Single classroom: 14 days in advance
• Multiple classrooms: 6 weeks in advance
• Academic Classes, DeCals, Midterms, and Finals: Must be scheduled through the Office of the Registrar (view link) (scheduling@berkeley.edu).
• RRR Week: Classrooms available by request, subject to availability.
• Finals Week: No reservations allowed.
• Winter Break: Classrooms closed from end of finals to Wednesday before Spring instruction.
RRR & Finals Week: GA classrooms not available.
• Summer Semester: GA classrooms not reservable by RSOs.
• Major Event Policy (MEP) – As the event host, you are responsible for understanding if your event qualifies as a major event and thus subject to the Major Event Policy for details and procedures for non-Departmental Users to Request Access to Campus Facilities. If you have questions about whether your booking is a major event, please email majorevents@berkeley.edu
Per the Campus Major Events Policy procedures, if you feel that your request is likely to significantly affect campus safety/security or campus services, or interfere with other campus functions/activities, you are responsible to conduct UCPD and insurance consultations to determine if the policy applies and best next steps. Failure to comply will result in cancellation of the reservation.
If after you review of the MEP and identify that your event is a Major Event, Please complete the following within the specified timeframes or we cannot process your request:
- Submit the Major Event Registration Form six weeks prior to your event.
- Submit UCPD’s Event Notification and Security Assessment Form for a security review no less than six weeks prior to your event. When UCPD has responded to your request (including for potential increased security costs), please upload the document under your reservation ID# in 25Live. A PDF of an email approval will suffice as well. Documentation is required no later than one week prior to the event.
- Submit documentation that supports UCPD’s / Director of Major Events, approval to proceed.

Classroom Allocation Policy
GA Classrooms are available on a first-come, first-served basis, within Building Hours. Requests are prioritized by submission date.
Reservations reserve the right to assign an alternate classroom that better suits the expected guest count or activity, as listed in the reservation request.

Weekdays (Mon–Fri):
• Max 20 hours per semester per organization
Weekends (Sat–Sun) in Social Science Building:
• Max 20 hours per semester
• Max 1 room per day with waived fees
Holidays:
• GA classrooms are closed on academic holidays
Performance/Movement Activities:
• Only two classrooms are suitable for performance/movement events:
• A1 Hearst Field Annex (Capacity: 222)
• 100 Genetics & Plant Biology (GPB) (Capacity: 206)
DRAFT Status – Reservation is still under review.
TENTATIVE Status – The reservation is being held but may have additional documentation or information required before the reservation is confirmed.
DENIED status – Reservations may be denied for the following, but not limited to, reasons:
• No availability
• Request is outside of Building Hours
• Hourly maximum exceeded
• Organization blocked from 25Live
• Request submitted after submission deadline
• Event did not meet major event requirements
• Required documentation not submitted by deadline
CONFIRMED status – submission and receipt of any requested additional documentation or information, a confirmation will be sent to the requestors email.
Classroom Service Fees
• No fee for classrooms with <299 capacity
• $190 / classroom for rooms with ≥300 capacity
• $190 / classroom (≤299 capacity), 1–14 hours
• $290 / classroom (≥300 capacity), 1–14 hours
• $0.00 / Social Science Building: 1 room/day is free; multiple room bookings must use alternate locations
• Admin Fee: $100 / booking for events with multiple classrooms
• Event Staff: $30 / hour per staff (min. 4 hours, 2 staff required)
• UCPD: Client responsible for CSO/SPO if required
• Damage Fees: Charged if damage occurs
• Cleaning Fees: Charged for extra cleaning needs
Campus Departments – Payment must be made via Chartstring (the only accepted method)
RSOs
Accepted payment methods: Purchase Order (PO), Check, or Credit Card.
Purchase Order (PO) – Must be submitted before the start of the event.
Credit Card – Provide the name and contact information of the person Student Affairs Finance should reach out to for credit card details.
Check – Communicate the check number to Classroom reservations. A team member will follow up to coordinate check collection.
Invoicing and Payment Collection – A representative from Student Affairs Finance will contact the listed client representative regarding payment and invoicing.

Insurance Requirements
If required, a copy of the Certificate of Insurance (COI) is due no later than 7 business days prior to the event date.

• No insurance required unless a third party is working the event
• Third-party must provide a COI 7 business days before the event
– No insurance needed for general membership meetings
– Required for events with, but not limited to:
• Non-campus attendees, speakers, or facilitators
• Minors (not UC Berkeley students)
• Name “University of California Regents” as additional insured
• $1M per occurrence / $2M aggregate for Sexual Misconduct Liability (if hosting minors)
• Submit at least 7 business days in advance
• RSOs: Contact Mercer (plsdsteam.service@mercer.com) or apply via Campus Connexions
• Third Parties: Provide their own or purchase via Marsh (1-866-838-9536)
Misuse and Misconduct
All users are required to comply with the policies outlined herein. Failure to follow these policies may result in written warnings, referral to the UC Berkeley Center for Student Conduct, suspension of reservation privileges, and/or the imposition of incurred fees.
Three-Strike System

First Warning
A written warning will be issued to the client.
Applicable fees may be assessed.

Second Warning
• A second written warning will be issued.
• For Registered Student Organizations (RSOs): The matter will be referred to the UC Berkeley Center for Student Conduct for review.
• For Campus Departments: The relevant Department Manager will be notified.
Applicable fees may be assessed.

Third Warning (Final)
• A third written warning will be issued.
• F or RSOs: A second referral will be made to the UC Berkeley Center for Student Conduct for investigation. Reservation privileges (for GA Classroom and Event Services venues) maybe suspended as a result of a violation..
• For Campus Departments: A second notification will be sent to the Department Manager. Reservation privileges will be temporarily suspended until all assessed fees are paid.
Incident Severity Protocol – Event Services reserves the right to immediately escalate any incident to the UC Berkeley Center for Student Conduct based on the severity of the violation. This decision may be made in consultation with relevant Student Affairs offices, including but not limited to the Major Events and Activities Team, Office of the Registrar and the Dean of Students.
